    Business Challenge

A leading North American plumbing supply manufacturer was struggling to create the real time supply chain visibility between ERP, suppliers, distributors and customers.

Significant post-PO (purchase order) visibility gaps plagued the manufacturer, exacerbated by delayed partner communications that forced manual ERP updates. Cost barriers prevented leveraging SAP for supplier portal collaboration. Critically, integrating SAP with the disparate systems used by distribution partners across regional DCs proved unviable due to complexity and expense, creating major operational bottlenecks.

This limited supply chain visibility manifested in several key challenges including Inaccurate Demand Forecasting, Supplier Lead Time Variability, Missed Delivery SLAs (OTIF), Lost Sales Opportunities, and Increased Inventory Holding Costs.

The organization sought a solution to gain end-to-end supply chain visibility, improve communication with suppliers, and proactively manage production schedules to mitigate these issues.

    Solution Implemented

Karolium team partnered with the manufacturing company to implement a solution that leveraged existing SAP infrastructure and integrated it with supplier partner portals via secure APIs. The solution focused on providing:

    • Real-Time Inventory Visibility: Integrated supplier partner portals, allowing the team to access real-time inventory levels on Purchase Orders (POs), shipments, and Advanced Shipping Notices (ASNs), including in-transit raw materials. This information was directly integrated into their SAP ERP system for a consolidated view. This also enabled enhanced monitoring of supply levels across their manufacturing facilities.
    • Proactive Procurement Schedule Management: Karolium platform exposed the company’s procurement schedules and demand forecasts to key suppliers through a secure online portal. This enabled suppliers to proactively plan their production and delivery schedules, ensuring timely material availability. Automatic alerts were designed to flag any late shipment from the suppliers.
    • Automated Exception Alerts: Automated exception alerts within the system to flag potential issues, such as delayed shipments, inventory discrepancies, and demand spikes. These alerts enabled proactive intervention and issue resolution.
    • Demand Forecasting Enhancement: Used historical sales data and information obtained from the network, optimizing the demand forecast algorithms.
    • Centralized Supplier Communication: Assisted the company in establishing a centralized communication protocol through the partner portals, ensuring consistent and transparent communication with all suppliers.
    • Real time Partner Updates: Processed real time updates from the warehouse on the received, shipped, and on-hand inventory aids the manufacturers with informed decision-making process from placing additional orders, committing to customer orders, and meeting customer SLAs.

    Business Outcome

The organization transformed its supply chain operations, achieving greater agility, responsiveness, and cost-efficiency by adopting Karolium platform:

    • Enhanced Supply Chain Visibility: The manufacturer gained real-time visibility into inventory levels and order status across its extended supply chain, from raw materials to finished goods.
    • Improved OTIF Delivery Performance: Proactive production planning and enhanced communication reduced supplier lead-time delays, resulting in an 80% improvement in OTIF delivery performance within the first quarter.
    • Reduced Lost Sales Opportunities: The ability to quickly identify and capitalize on demand fluctuations led to a 75% reduction in lost sales opportunities in the first six months.
    • Optimized Inventory Levels: Improved demand forecasting and supply chain visibility enabled manufacturer to reduce its overall inventory levels by 95%, freeing up capital for other investments.
    • Strengthened Supplier Relationships: Enhanced communication and collaboration fostered stronger, more collaborative relationships with key suppliers.

    Conclusion

The Karolium implementation of external portals, integrated efficiently with minimal reliance on standard “out-of-the-box” connectors, proved highly advantageous. This delivered essential visibility into supplier operations and optimized expenditures by significantly reducing software licensing fees. The operational improvements stemming from this enhanced supplier collaboration and insight played a direct role in strengthening the company’s market position and driving growth in customer market share.
